Proposal Title:     Ikon copiers and computer labs - consolidate the effort

Anticipated Savings/Revenue:  unknown

Units affected: 

1.all departments with copy machines who are presently managing their own accounts, invoicing, purchsing supplies (paper; calling and waiting for tech support, etc... 2.  All college departments that have their own computer labs

Brief Description of Proposal:

Consolidate all departmental copy machines supported by IKON service agreements under one university contract with university-level oversight rahter than have each department buy/lease machines, process monthly invoices, and troubleshoot copying problems.  At the dept. level we don't have the resources to replace old (poorly functioning) machines, much less pay for the toner and paper. (p-card purchases for staples, and paper- an additional paperwork burden). I propose copy machines be placed in strategic locations in a keyed access room (one per floor of Thornton Hall for example) allowing all the appropriate faculty and staff access to make necessary copies, with a phone number to call for on-campus tech for support. This can be funded from the part of the budget that comes to the colleges for "faculty support funds".

My second suggestion has to do with computer labs in the same vein.  Trying to maintain computers, software updates and printers is cost prohibitive for small departments, not to mention the time sink in trying to maintain them.  I propose consolidating these efforts within the colleges,  or again at the university-wide level.  The duplication of effort is immense as well as the cost savings of site licensing -vs- individuals buying software.  And the tech support could be expanded to take the pressure off of the departments to trouble-shoot all the problems with faculty work stations, as well as computer labs.  This could be funded by the money in the budget for instructional related equipment.
