Policies and Guidelines
Events held in the University Housing facilities must follow the listed criteria:
Use of the University Housing Facilities will be granted for fund-raising purposes only with the prior permission of the President or his designee.
Any written or other material used for promotional purposes or any conference proceedings (written or taped) must include a prominent statement that the views expressed at the conference are not supported or endorsed by San Francisco State University.
Commercial General Liability insurance (comprehensive or commercial form) in an amount of not less than $1,000,000.00 per occurrence for bodily injury, property damage, accidental death, personal injuries to third parties, burglary and robbery, valuable papers, and office contents coverage. Claims-made insurance is not acceptable.
General Aggregate of not less than $2,000,000.00
Employer Liability of not less than $1,000,000.00
Business Automobile Liability of not less than $1,000,000.00 per occurrence for Owned, Scheduled, Non-Owned, or Hired Automobiles.
Client or Lessee shall furnish the University a certificate of insurance at least thirty (30) days prior to the commencement of conference that shall state: "the State of California, the Trustees of the California State University, San Francisco State University, and the employees, officers, volunteers, and agents of each of them are included as additional insured." The certificate of insurance must specifically state this to be valid. Insurance can be purchased through our University.
While University sponsorship is not required for outside organizations, some off campus organizations may be required to be sponsored by the University or an individual college. A dean, director, or cabinet level officer must authorize sponsorship who will assume fiscal responsibility should revenues not meet University expenses.
All sponsored and non-sponsored groups wishing to rent or use University facilities and wishing to serve beer and/or wine must complete an Alcohol Clearance Form for permission to serve these alcoholic beverages. Our facilities are not licensed to serve liquor or mixed drinks.
No outside food may be served in the conference facilities. All food must be provided by the Seven Hills Catering Department. All arrangements for food services must be made directly with this department. A separate contract outlining food specifications will be provided under separate cover.
Commercial transactions and the display of property or services for sale at the University is prohibited except with written permission.
All vehicles parking in San Francisco State University parking lots are required to have a valid SFSU permit. For information, please contact the Parking and Transportation Department at (415) 338-1441.
Meeting rooms must be arranged in advance and in writing with the Office of Conference Services and are subject to current costs and availability. Clients who wish to access the facilities earlier than 8:00 AM will be assessed $50.00 per hours. Accessing the facilities earlier than normal business hours (8:00 AM - 5:00 PM) is not guaranteed.
Event hours noted in Facility Service Agreement include set-up, clean-up, and program times; if the event does not end as prescribed the Client will be charged $75.00 per half hour.
Basic audio visual equipment is available on a first come first serve basis. Basic audio visual equipment includes: televisions, VCR and DVD players, XLR cables, microphones, overhead projectors and LCD projectors. Client is responsible to obtain any equipment not listed in Conference Services inventory that may be required for Client’s program whether audio visual equipment is provided by Conference Services or Client, equipment set up is Client’s responsibility. Conference Services is not responsible for providing audio-visual technical support.
Ethernet and wireless access is available in some of the meeting room facilities. Internet connectivity is provided as a convenience. Service is provided through a combination of campus network and outside service providers. Conference Services will make diligent effort to resolve network failure or other problems with service, however nothing in this agreement shall be construed as a guarantee of Ethernet or wireless connectivity and Conference Services will not be responsible for any impact of a system failure on Client’s program.
