Holiday Informal Time Off

The University received notice that, consistent with the Governor’s policy, CSU employees will receive a half day of informal time off during the holiday season.  The informal time off is subject to the follow provisions:

 

Monthly Rate / Salaried Employees

Full time exempt and nonexempt employees on payroll status may be allowed a half day informal time off with pay on the last campus work day before the Christmas holiday (Friday, December 23rd) only or used prior to June 30, 2012.  Part-time employees should be provided time off on a pro-rata basis.

Hourly Employees

Hourly employees other than those in Class Codes 1150, 1151, 1868, 1870, 1871, 1872, 1874, 1875, 1876 (Work Study/Student Assistants), 7171 (Notetaker), 7172 (Reader), and 7930 should be permitted informal time off based on the following table, provided that the employee is scheduled to work on the campus’ last work day prior to the holiday closure and is still on the active payroll on that date (has not or will not be separated with a prior effective date):

Hours Scheduled in December Pay Period:

1 - 43 receive 1 hour off

44 - 87 receive 2 hours off

88 or more receive 4 hours off

 

Employees who may be required to work or who would be scheduled to work but are on vacation, sick leave, or CTO may be granted the equivalent informal time off prior to June 30, 2012.  This time is not considered CTO and is not compensable in cash.

 

Employees who have not used their Personal Holiday for calendar year 2011 must use it during the December 2011 pay period (no later than 12/30/11), since the Personal Holiday cannot be carried over to the next calendar year.  The Personal Holiday must be used in whole day increments.  Employees are reminded that new Personal Holidays are credited to employees each year on January 1st for use during that calendar year.

December Paychecks Distribution

Dec 30, 2011, 10 a.m. – 12 noon

 

Paychecks and direct deposit statements will be distributed to employees on Tuesday, January 3, 2012 beginning at 9:00 am. 

 

Employees wishing to receive their checks prior to January 3, 2012 may pick up their checks on Friday, December 30, 2011, between 10:00 am and 12:00 noon, in the Administration Building.

 

Doors to the Administration Building will be locked promptly at 12:00 noon without exception. 

 

Employees picking up their paychecks on December 30, 2011 must bring photo identification and enter the Administration Building on the Bursar’s Office side entrance.

 

For employees enrolled in the Direct Deposit program, paychecks will post on January 3, 2012.

 

 


 

Employees urged to check their address of record

The State Controller’s Office mails W2 forms to the address of record for State employees during January of each year. If your home address changed this year, it is important to change your address of record so that your 2011 W2 form is mailed to the correct address. The deadline for submitting address changes is Thursday, Dec. 15. There are two ways for reporting an address change:

  • Visit http://portal.sfsu.edu
  • Choose "Login" and enter your SF State ID and password
  • Choose the "Human Resources" tab
  • Under the heading "My Home Address," choose "Select to change your home address"
  • Scroll down, click the "Edit" button
  • Update your information, select "Save" and then log out

Campus open, business as usual in the event of informational picketing

Nov. 7, 2011, 4 p.m. -- One of the unions representing a group of campus employees, the California Faculty Association, has announced intentions to conduct informational picket lines in November.  The campus will remain open during any such job action, maintaining the full class schedule and conducting business as usual. You may choose to cross an informational picket line to enter campus, or you may choose an alternate entrance that does not have a picket line.

Fee Waiver & Reduction Program

The California State University offers eligible employees and their eligible dependents the opportunity to enroll in work related courses offered by the CSU at a reduced fee. 

To qualify for priority registration, the Bursar's Office must receive payment by: December 1, 2011

Open Enrollment 2011

Benefit-eligible faculty and staff may enroll in or make changes to health, dental and vision plans, Flex Cash, Dependent Care (DCRA) and Health Care Reimbursement (HCRA) from Oct. 10 to Nov. 4. Forms must be received by Friday, Nov. 4. Open enrollment will also include the CSU Voluntary Benefits Plans, MetLaw, Aflac, The Standard and California Casualty. Changes made during open enrollment will go into effect Jan. 1, 2012.

  • Flexible Spending Accounts - As a reminder, if you are currently enrolled in the Dependent Care Reimbursement Account (DCRA) and/or the Health Care Reimbursement Account (HCRA), and wish to continue participation in the plan(s) you must re-enroll annually during open enrollment.

 

  • New Flexible Spending Account Debit Card in 2012 for HCRA Enrollees - The CSU is pleased to announce the implementation of a Flexible Spending Plan (FSA) debit card for HCRA enrollees, beginning in the 2012 plan year. The optional “FSA Benny Card” issued by ASIFlex, allows HCRA enrollees to pay for out-of-pocket medical expenses (i.e., health, dental, vision, etc.) when issued as payment at Health Care Providers and at certain retail locations that have implemented an Inventory Control System, per IRS regulations.   • CalPERS Virtual Health Fair - This year CalPERS is introducing a new web-based “virtual health fair” for open enrollment. NEW CalPERS changes – new integrated system

CalPERS changes
CalPERS has launched a new integrated system that replaces 49 legacy systems. As CalPERS and its 2,500 member agencies adjust to the new system, there may be longer wait times when contacting the CalPERS toll-free telephone number (888) 225-7377 and slight delays completing certain transactions, such as health enrollments (including COBRA), service credit estimates and service credit purchases. Performance is expected to improve over the next couple of weeks. CalPERS will do everything possible to provide customer support during this adjustment period. For example, signed and submitted HBD-12 forms will be processed and coverage will be effective with the date stated on the form.

Benefits-eligible new hires and returning faculty who expected medical coverage to begin either Sep. 1 or Oct. 1, and who are in need of immediate medical coverage due to a critical need (i.e., treatment for a chronic or serious illness, prescription drug refill, etc.), should contact the appropriate Benefits Coordinator:


 

"Active Shooter Awareness”  October 18-20, 2011

San Francisco State Office of Emergency Services and the department of Human Resources, Safety & Risk Management are sponsoring trainings on Active Shooter Awareness. The acclaimed trainings will be conducted by the UC Davis Police Training Team who will teach us the skills and strategies we need to know to survive threats to campus safety, specifically the threat of an active gunman on campus. 

University police departments across the country are working hard to safeguard our communities, but real security is only achieved when everyone does their part. 

We want to give as many students, staff, and faculty as possible the opportunity to attend and participate in the trainings.

We will be providing two daily sessions from 10:00 to 11:30 a.m. and again from 2:00 to 3:30 p.m., during Campus Safety Awareness Week, October 18, 19 and 20.

The benefit guide is intended to assist you in determining whether your current appointment qualifies you for medical benefits at San Francisco State University. It highlights the specific criteria, such as position classification, appointment type, minimum appointment length and the number of weighted teaching units required to meet benefit eligibility.

 

 

New CalPERS Requirement for Benefits-Covered Dependents
CalPERS Health Plans must now have on file Social Security Numbers (SSNs) for all employees and any dependent covered under the health plan. Federal regulations now require CalPERS and our dental/vision plans to collect and report the SSNs of all covered employees and dependents for various purposes such as coordination of federal and state benefits, and for verifying eligibility for subsidies and reimbursements. The CSU requires validation of SSNs for all benefits-covered employees and their dependents to augment the CSU's fiduciary responsibility, as well as to ensure benefits are appropriately utilized by eligible individuals.
CalPERS requires enrollees who have a spouse, or registered domestic partner covered on the Plan to have on file the date of marriage/registered domestic partnership.
What You Need To Do Now
At this time, employees are asked to complete the form provided to Human Resources by August 26, 2011.
CalPERS to Launch A New Computer System
In September 2011, CalPERS is implementing a new computer system that will provide improved access to information. The new system, MyCalPERS, will streamline many CalPERS processes and will allow CalPERS to offer additional self-service capabilities to you in the Spring of 2012. As part of the new MyCalPERS system implementation, CalPERS will issue new Benefits Identification Numbers to all covered individuals, which requires collection of accurate and completed SSN and Marital Status information, as stated above.
