ADMINISTRATIVE SUPPORT ASSISTANT AND COORDINATOR
OFFICE SUPPORT TEMPORARY POOL
PURPOSE
To provide hiring departments with Office Support staffing on an immediate basis for a period not to exceed 180 calendar days.
USE OF THE POOL
Hiring departments may request Office Support Pool applications for the following reasons:
- To temporarily replace current employees on a 180-day or less leave of absence (medical, maternity, family or other leaves)
- To temporarily hire candidates to assist in workload management, special projects or beginning/end of Fiscal Year processing
- To cover department emergencies
HIRING DEPARTMENT PROCESS
The hiring supervisor calls a Human Resources, Safety & Risk Management (HRS&RM) Employment Representative to notify them of appointment of a possible less-than-180-day hire, reasons for hiring, briefly describe the essential functions to be performed, the duration of employment period, and the knowledge, skills and abilities required.
The Employment Representatives will determine the appropriate classification and salary rate. Applicants must meet the minimum qualifications of the classification for which staffing is requested. Appointments less than one month must be paid on an hourly basis. The starting salary is usually the
minimum rate of the classification for which the Pool candidate is being recommended.
The hiring supervisor requests to review the applications/resumes in the Pool are made by contacting the Receptionist, Ext. 81872 in Human Resources, Safety & Risk Management, ADM 252.
The hiring supervisor may take up to 10 applications/resumes for a maximum of 5 days. The balance of the applications must remain in Human Resources so other hiring supervisors may also use the Pool process.
The hiring supervisor makes direct contact with applicants to arrange an interview - either by telephone or face to face. Upon completion of interviews, all pool applications previously taken by the hiring supervisor (including the successful candidate’s) must be hand-carried and returned to Human Resources, Safety & Risk Management within 5 days. Reference check process must take place prior to the candidate's starting employment.
INITIAL APPOINTMENT/HIRE Refer to the Recruitment Policy P105. Successful candidates hired through the Office Support Pool shall NOT BE EXTENDED past 180 CALENDAR DAYS.
APPLICANT STATUS CONDITIONS
Applicants in the Pool actively applying for positions posted in the Employment Opportunity Bulletin (EOB) are considered SFSU employees for 9.2 purposes on the 91st day of appointment. The 9.2 provision briefly states that hiring supervisors must first give hiring preference to eligible and qualified SFSU employees. Also, refer to the Recruitment Policy P105.
Applicants in the Pool may reapply and complete an application/resume every six months (January and July) and note the new "Pool Job Number" in order to be reconsidered as a Pool candidate. Pool applications/resumes older than six months are automatically shredded.
