University Housing Application and License Agreement Process
NOTICE: (documents on this page require adobe acrobat)
Applications for SF State University Housing are made available on October 1st of each year for the following academic year. Housing is provided on a first come, first serve basis according to each student's Application and License Agreement received dates.
Some students may be placed on the Waitlist and will not receive on campus housing prior to August move in. Please read this page for a complete explanation.
How the License Agreement Process Works
If you are applying for Fall Academic Year:
Step 1 Application:
Applications are available October 1st online at www.sfsu.edu/~housing/. The earlier you apply the earlier you will receive a License Agreement, which increases your potential for securing housing for the next Fall semester. For the best chance of getting a housing space, we encourage students to apply before January 30.
If your application date is between October 1st and November 30th:
Your License Agreement will be emailed to you the last week of February.
If your application date is between December 1st and January 31st:
Your License Agreement will be emailed to you the last week of March.
If your application date is between February 1st and March 31st:
Your License Agreement will be emailed to you during the last week of April.
If your application date is between April 1st and April 30th:
Your License Agreement will be emailed to you during the last week of May.
If your application date is after May 1st:
Housing is usually full by May 1st. Therefore, we do not send out License Agreements if spaces are full and we have a substantial waitlist. If you are applying after May 1st, you will not receive further notification from our office unless spaces clear and we are able to offer you a License Agreement. At that time you may be moved to the waitlist, you will then receive waitlist notifications twice a week from June until October 1st. On October 1st, you will receive an email explaining the opportunity to Spring Forward your application to the Spring semester. Participating in Spring Forward allows you to keep your original Application Date, which gives you a greater advantage for obtaining on-campus housing in the Spring.
Step 2 License Agreement:
After your application has been received and if space is available, you will receive a License Agreement via email. License Agreements are processed on a first-come first served basis. Therefore, completing the License Agreement documents, making the first payment and returning the License Agreement to University Housing quickly, will increase your chances of obtaining a housing space. University Housing will process your License Agreement in accordance with your application date and your deadline to return the License Agreement.
Step 3 Confirmation:
Provided space availability, approximately 3 weeks after you have returned your License Agreement with the initial payment, you will receive an email confirming your status as a licensee with University Housing. If housing is full you will receive a waitlist notification twice a week from June until October 1st. On October 1st you will be offered the opportunity to Spring Forward. Participating in Spring Forward allows you to keep your original Application Date, which gives you a greater advantage for obtaining on-campus housing in the Spring.
Step 4 Assignment:
Specific space assignment and roommate information will be emailed to the license holder approximately in July, one month prior to opening day.
How the Waitlist Works?
The Waitlist is provided for students who have applied for and completed their License Agreement but have not yet been confirmed for campus housing because a space was not yet available at the time of license.
The Waitlist is structured based upon.
The student's original Housing Application received date
License Agreement received date and
The housing option the student is age and gender eligible for.
As students who are already confirmed for housing cancel their housing space or as other Waitlist students cancel their housing applications, a student on the Waitlist will see their position change; their number will become lower.
The Waitlist will be available as long as there are students who require housing.
If a student does not receive on-campus housing by August move in day they will need to find temporary housing until campus housing becomes available. SF State University Housing recommends students look for short-term accommodations by using the Off-Campus web site which provides resources for both short-term and long-term accommodations.
What if I get on the Waitlist?
Students who have submitted both the University Housing Application and the License Agreement are automatically placed on the Waitlist once housing is full. Those who are placed on the Waitlist will begin receiving Waitlist status emails twice a week beginning in June.
Students who have not applied or have not completed a License Agreement and wish to be placed on the Waitlist will need to follow the normal housing process:
Apply for SF State University Housing.
How do I cancel?
Once a student has cancelled their SF State University Housing Application/License Agreement, their refund process will be initiated. If the student changes their mind, the student will need to begin the Application process again.
The initial $1400 payment is fully refundable to Waitlist students who have not yet been confirmed for campus housing. Once a student has been confirmed for housing or accepts their room keys the $1400 initial payment is not fully refundable. The $55 Housing Application fee is non-refundable. Please review the Terms and Conditions for full details.
To cancel a student's Waitlist position, they must cancel the Housing Application/License Agreement. Do so by submitting the online Housing Cancellation Form or emailing our office at housing@sfsu.edu with the following information:
First and Last Name
Student ID Number
Request to cancel your University Housing Application
The $1400 initial payment is fully refundable if the student is on the Waitlist. Refunds take 6 to 8 weeks to be processed from the date our office receives the housing cancellation request. This is because the refund amount must be sent through the University Bursar's Office and generated by University Accounts Payable. If the student owes any fees to SFSU, the Bursar will deduct those fees prior to sending the remaining refund.
Because database systems take time to catch up with one another, students may continue to receive Waitlist status emails up to 2 weeks after canceling. If they continue to receive Waitlist status emails after 2 weeks please email our office: housing@sfsu.edu.
