Introduction
inside SF State e-mail is a Web-based e-mail/calendaring/contact program which provides easy access to SFSU e-mail/calendar accounts via a supported Web browser (e.g., Firefox, Internet Explorer) from any computer on the Internet.
Who Can Use inside SF State e-mail
inside SF State e-mail is available to SFSU students, staff and faculty who have moved their accounts to the new e-mail servers. To check whether your account has been moved, log in with your SFSU ID and e-mail password to http://www.sfsu.edu/email. The message at the the top of the page displays the account status. If the message states: "The account (account name) has successfully moved," then inside SF State e-mail can be used for that account. If the message indicates that the account has been invited to move, then you should follow the instructions provided to schedule the move. Other accounts will soon be invited to moved, and can be accessed via Webmail until moved.
Browser Requirements
inside SF State e-mail requires a supported Web browser. Upgrade or download and install if necessary.
Windows - Firefox 1.5.0.4, or later or Internet Explorer 6.0.x.
Macintosh - Firefox 1.5.0.4, or later (Apple's Safari Web browser and Internet Explorer will not work).
Accessing inside SF State e-mail
To access inside SF State e-mail, go to http://inside.sfsu.edu using a supported Web browser. You will automatically be redirected to SF State's secure server, https://inside.sfsu.edu/email, and the inside SF State log in screen will open. This is the home of San Francisco State University's Web-based tools and services.
Logging-in to inside SF State e-mail
To login to inside SF State e-mail:
- Enter your student or employee number (SFSU ID) (e.g., 9xxxxxxxx) in the ID field (do NOT enter your e-mail account name).
- Enter your e-mail password in the Password field

- Select the Login button.
The inside SF State e-mail page will be displayed with tabs at the top to access the Mail, Calendar, To Do list, Contacts and a Notebook.

Changing Passwords
The Change Password utility available at http://www.sfsu.edu/email changes the password for inside SF State e-mail, Webmail and other SF State Web applications.
However, it will not work with Lotus Notes. For further information on password issues, read Lotus Notes FAQ on Issues with Security Management
Reading Mail
Select the Mail tab to view your e-mail.
By default, the messages in your Inbox will be displayed in a list sorted by date with the most recent messages at the top.
In the Inbox, an e-mail message header will display the following information:
- Red colored text indicates an Unread message
- the Who column displays the Sender information (the name or e-mail address)
- the Date column displays the date the message was sent
- the Time column the displays the time the message was sent
- the Size column displays the file size of the message in bytes
- the Subject column displays the subject line of the message
- an exclamation point indicates the message was sent with a high priority
- a paper clip indicates an attachment has been received with the e-mail message
- an envelope with a green arrow pointing left indicates a replied to message
- an envelope with a blue arrow pointing right indicates a forwarded to message
Selecting a Message to Read
To navigate to a particular message, either:
- Use the up or down arrow keys on your keyboard or
- Select the message with the mouse.
To read the contents of a message, double-click anywhere within the row of the index of the message. The content of the message will be displayed in a popup browser window.
In the popup message window you may click on the up arrow icon
to read the previous message or select the down arrow icon
to read the next message.
You may click on any one of the icons for the function that you want to perform:
- Refresh the current mailbox (checks for new e-mail).
- Compose a new message
- Delete the message
- Reply to reply to the sender
- to print the message
When you are done, close the pop up window by clicking on the X to return to the Inbox.
Composing and Sending Mail
- To compose a mail message, select the New button
, on the toolbar.
The Message window will appear.
Type the recipient's e-mail address in the To field.
Type the message subject in the Subject field.
- Type the content of the message in the text portion field.
- (Optional) To add an attachment, select Attachments, select the Select file(s) icon
, select the attachment file, and click on Open.
- When you are done composing the message, click the Send button to send it.
The message will be sent and the Inbox screen will re-appear.
Working With Contacts (the Address Book)
To create a Contacts entry, do the following:
- Select the Contacts tab.
The Contacts list will appear displaying the Name, Phone List, E-mail and Company column headers for the list of address book entries.- Select New > Contact from the Contacts tool bar. The Contact Information screen will appear.
- Enter as much of the contact information in the Name, E-mail and other fields provided.
- Select the Save button. The Contact entry will be displayed.
- Select New > Contact from the Contacts tool bar, if you want to add another contact.
- Select Save & Close or close the popup window to return to the main Contacts screen.
To compose a mail message using Contacts, do the following:
- Select the Contacts tab. The Contacts list will appear.
- Select the contacts of the people to whom you want to send the message by highlighting them with the mouse.
- Select New > Message.
- The Message window will open with the recipient’s e-mail address(es) entered.
- Compose the message as you normally do.
- When you are done, select the Send button.
To make the Contacts available from a new Message screen, do the following:
- Select the To: button.
- Select Contacts in the Search in: field.
- Select the contact(s) in the Search results column and select the To: >>, cc: >>, or bcc: >> button.
- Select OK.
- Compose the message as you normally do.
- When you are done, select the Send button.
To Add a Sender to your Contacts, do the following:
- Open a message as you normally do.
- Select Tools > Add Sender to Contacts.
- The name and address will open in a Contact Information window.
Verify and/or modify the information then select Save & Close.To create a Group list in Contacts, do the following:
- Create a Contacts entry for each person to be added to the new Group list.
- Select Contacts > New E-mail Group.
- Type in the name of the Group that you want to create in the Group Name: field.
- Type in a description of the group in the Description field.
- Select the OK button. The new Group list is added.
- Select the Members: button.
- Select Contacts in the Search in: field
- Select the contact(s) in the Search results column and select the Add >> button.
- (Optional) Select San Francisco State Directory in the Search in: field.
- Select the contact(s) in the Search results column and select the Add >> button.
- Select the OK button.
- Select Save & Close.
Setting Up Filters
inside SF State e-mail has a filtering feature that lets you create rules to organize your incoming mail, sort it into folders, and delete Spam.
Creating a Filter
The e-mail server identifies suspect junk mail and inserts {Spam?} in the Subject line of your e-mail. To create a filter to sort this Spam into a folder, for example, do the following:
- Select the Mail tab.
- Create a folder labeled Spam (if one is not already created) by performing the following 2 steps:
- Right-click (control + click on the Mac) on the Folders icon
and select New.
- In the Folder Name field, type Spam and select the OK button.
- Select the Tools button, then select New Mail Rule.
- Type Spam in the Rule Name field.
- Verify that the Status Enabled radio button is selected.
- Under the Specify Conditions section, select Subject from the 1st drop down menu.
- Select contains from the second drop down menu.
- Type {Spam?} in the next field.
- Select the Add >> button.
- In the Specify actions section, select move to folder in the Create actions 1st drop down menu.
- Click on the folder icon
and select the Spam folder from the drop down menu, then select OK.
- Click the Add >> button.

- Select OK. New messages with {Spam?} in the subject line will automatically be filtered to your Spam folder.
Modifying Filter Options
- Click on the Tools icon button, then select View Mail Rules.
- Double-click on the rule you want to modify and make needed modifications.
- When done, select OK
Logging Out of inside SF State e-mail
Select the Logout button on theinside SF State e-mail toolbar.

Problems?
Q. Can I import my address book from my e-mail client (Outlook, Eudora, Webmail, Entourage, etc) into the inside SF State e-mail contact list?
A. Unfortunately, there is no facility that will enable you to transfer the address book over to the inside SF State e-mail contact list. You will have to re-create it.Q. Can I use the Webmail address book?
A. The Webmail address book is not available in inside SF State e-mail. You will have to re-create it.
