Entourage 2008 on Exchange
Guide for installing and configuring Entourage to access SF State E-mail on Microsoft Exchange.

Prerequisites
- A Macintosh computer
- A connection to the Internet
- Microsoft Office 2008 for Mac with update 12.1.2 or later
- Account details for your SF State e-mail account on the Exchange server
Obtain software
Entourage 2008 is available for free to SF State faculty and staff for use on University-owned computers. Entourage 2008 comes packaged with Microsoft Office 2008 for Mac.
- To obtain Entourage 2008 for a University-owned computer, contact your department office/IT support person.
- To obtain Entourage 2008 for a personally-owned computer that is used to do work at home (work at home rights), purchase a copy of Microsoft Office 2008 for Mac from the SF State Bookstore.
- If you have Microsoft Office 2008 installed but do not have Entourage 2008, try reinstalling Microsoft Office 2008.
- If you have Entourage 2004, upgrading to Entourage 2008 is required.
Obtain account details
- Login to SF State E-mail Account Services. (If you do not know your password, use the SF State password service.)
- Under Accounts (section 1) click your e-mail address.
- On the Account Details page note the following: Account name, Forwards to, and Mail server.
- If you are currently forwarding your e-mail and would like to access it using Entourage, remove your e-mail forwarding address.
- If your Mail server is not exchange.sfsu.edu, you should first switch to Exchange.
Install Entourage
Entourage is installed with Microsoft Office. See the Prerequisites section for information on obtaining Entourage.
- Open Entourage from the Dock, or navigate to where Entourage is installed (e.g., Macintosh HD > Applications > Microsoft Office > Microsoft Entourage), then double-click Microsoft Entourage to open.
- The Entourage Setup Assistant opens automatically the first time Entourage is opened. Close the Entourage Setup Assistant dialog box, and continue with the instructions below, Download and install latest software updates.
Download and install latest software updates
- Open Entourage.
- On the Help menu, click Check for Updates.
- On the Microsoft AutoUpdate window click the button Check for Updates. Follow instructions to install any recommended updates or click OK if no updates are available, then close the Microsoft AutoUpdate window.
- If you installed updates, check for updates again. If more updates are available install them. Repeat until no new updates are available.
Download and install Entourage 2008, Web Services Edition
- On the Mactopia IT Pros Entourage Web Services page, click the Download Entourage 2008, Web Services Edition link.
- At the bottom of the Mactopia Downloads page, under Browse for Downloads, verify that Office 2008 and Microsoft Entourage 2008 for Mac, Web Services Edition are highlighted.
- Under Details, select the English (.dmg) link to begin the download.
- If the downloaded .dmg file does not mount automatically, double click on it to mount the file.
- Double-click on the Entourage 2008, Web Services Edition, icon in the Entourage 2008, Web Services Edition drive to start the installation. Follow the installation instructions.
Configure Entourage
- Add New Account
- Open Entourage.
- Optional: Entourage's Junk E-mail filter is agressive. You may want to disable it before connecting to your account. To disable the Junk E-mail filter open Tools > Junk E-mail Protection..., select None under Level, then click OK.
- On the Entourage menu, click Account Settings...
- On the Accounts window, select the down arrow next to New, then select Exchange.

- Account Setup Assistant
- Enter your full E-mail address (e.g., jdoe@sfsu.edu).
- Check My account is on an Exchange server.
- Click the right arrow in the lower right corner. Wait while Entourage attempts to automatically configure your account settings.

- Account Information window
- Leave Domain blank.
- For Account ID, enter your full e-mail address (e.g., jdoe@sfsu.edu).
- Enter your Password
- Leave Save password in Mac OS X Keychain unchecked.
- Click OK.

- If you are told that Entourage was redirected to a server to get new settings for your account and asked if you want the server to configure your settings, click Allow.
- When prompted in the Account Information dialog box:
- Verify that Domain is blank.
- Verify that Account ID: has your full e-mail address in it.
- Enter your password, then click OK.

Depending on the amount of mail you have in your mailbox, the initial retrieval of your mail make take some time.
Off-campus, if you allow Entourage to configure your settings, it may initially find eca03.ad.sfsu.edu or eca02.ad.sfsu.edu servers, and will still be unable to verify settings. At the point of failure, click the left arrow once to back up a step and change eca0X.ad.sfsu.edu to email.sfsu.edu. The process should continue from there without problem although you will see an LDAP error. This is a known issue so ignore the message.
It is also possible that Entourage will find a full URL in the server settings, e.g., https://eca03.ad.sfsu.edu/EWA/Exchange.asmx. Leave the full URL and just replace the eca03.ad with email, e.g., https://email.ad.sfsu.edu/EWA/Exchange.asmx.
Using Entourage with Exchange
Server-based e-mail
The mailboxes and folders you see under your new account (e.g., jdoe@sfsu.edu Exchange) reside on the e-mail server, not on your computer. As a result:
- If you move a message from one of these folders to Trash on one computer, it will be in Trash on all computers you use to check e-mail.
- Items are automatically deleted from Trash and the Exchange server two weeks after being moved to trash.
- Once a message is deleted from the server it is not easy to have it restored. It is impossible after thirty days.
- If you want to delete specific messages from the server, but keep them locally on your computer, copy them to a subfolder under the On My Computer account before deleting them from your Exchange account.
- The time it takes to refresh a folder on the server increases with the number of messages in the folder. To minimize refresh time, try to keep the number of messages in any folder below 1000. The Inbox on the server is refreshed every time your e-mail program checks for new messages, so it is especially important to keep the number of messages in the Inbox low.
Folders
- Your new account uses the Outbox found under the Folders on My Computer category.
- The Deleted Items folder under your new account (e.g., jdoe@sfsu.edu Exchange) will contain any messages deleted from your new Inbox.
- The Sent folder under your new account (e.g., jdoe@sfsu.edu Exchange) will contain any new messages sent from your account.
- To permanently remove messages marked as deleted, hold down CTRL, and then click the Deleted Items folder in the folder list. Click Empty Deleted Items, and then click Empty.
