Moving SF State E-mail To A Gmail Account:

 

Before You Begin

  1. Be aware that messages in your SFSU e-mail folders will transfer to Gmail but will be saved in the Gmail Inbox, NOT in folders.  You will need to create folders in Gmail and re-file messages into the Gmail folders.
  2.  You MUST verify that all the messages you need have been transferred to your Gmail account after the process is complete. SF State cannot guarantee Gmail will pick-up all messages.


Moving Mail

  1. Log in to your Gmail account.

  2. Click on Settings in the top right-hand corner of the Gmail page.

  3. In the Settings screen, click on the Accounts link.

  4. In the Get mail from other accounts: section, click on Add a mail account you own.

  5. Type your e-mail address in the box under Enter the email address of the account to get mail from, e.g., janedoe@mail06a.sfsu.edu

  6. Click on Next Step >>
  7. At the Enter the mail settings for janedoe@mail06a.sfsu.edu screen
    • Type your SFSU e-mail account password in the Password box
    • In the POP Server box, confirm that your server name and only your server name is specified (e.g. mail06a.sfsu.edu). If mail. (note the period) has been added to the beginning of the server name delete it.
    • Change the Port number to 995
    • Check Leave a copy of retrieved message on the server.. If left unchecked, all your messages from the SFSU server will be deleted. Leaving a copy, by checking this box, will assure that a copy of all your messages will remain on the SFSU server allowing you to check the success of the transfer.
    • Check Always use a secure connection (SSL) when retrieving mail..
    • Check Label incoming messages:. Leave the default label value as janedoe@mail06a.sfsu.edu. By doing this, all messages that are transferred from your SF State account will then have this label when you look at Gmail's Inbox list.

  8. Click on Add Account >>
  9. At the Would you also like to be able to send mail as janedoe@mail06a.sfsu.edu? prompt, click on the No radio button.

  10. Click on Finish.
  11. Sign out of your Gmail account.

  12. Log back in to your Gmail account. Note that all messages that were moved from your SF State account are labeled with your SF State e-mail address.
  13. Please remember that you MUST verify that all your messages from the SF State server transferred over to your Gmail account and are readable. If an individual message does not transfer we recommend you manually forward it from SF State to Gmail.
