Eudora Guide for Windows
This guide will help you install and configure Eudora to access your SFSU e-mail. Be sure to read the Prerequisites and ensure that you have all the required information. If you are installing for the first time, start with the "Install Eudora" instructions. If you already have Eudora installed, but are not currently using IMAP, then start with the "Switching Eudora from POP to IMAP" section.

Prerequisites
- Eudora for Windows Software Version 6.2.5.6
- An SFSU Internet account.
- A connection to the Internet.
Obtain Software
Due to problems using Eudora 7 with IMAP DoIT will not support Eudora 7 installations. We recommend using Eudora Version 6.2.5. It can be downloaded from http://www.eudora.com/techsupport/kb/2350hq.html/
Obtain Account Details
You will need:
- Your account details: login to SFSU E-mail Account Services. Note the text under Account, Forwarding to..., and your Mail Server. If you do not already have an account sign up for one.
- If you are currently forwarding your e-mail and would like to access it using this e-mail program, you should remove e-mail forwarding.
- Your Account (e.g., jdoe@sfsu.edu) will be your IMAP e-mail account address.
- Your Mail Server (e.g., mail01a) will be your incoming and outgoing mail server in the account setup.
- If you do not already know your password, select Change Password. This will be the password you use in your Account setup.

Install Eudora
Download the Install File linked to in the Prerequisites. Open the file once it is downloaded.
- To begin the Eudora Installer, select Next.
- Select Yes to accept the terms of the License Agreement.
- Verify the Eudora and Importers boxes are selected then select Next.
- Use the default folder provided by the installer then select Next.
- Select "Custom Data Folder" then select Browse.
- We recommend the Custom Data Folder go to "My Documents\eudora-accountname."
- Navigate to the "My Documents" folder and select it.
- Add "eudora-accountname" (e.g., eudora-jdoe) after "My Documents\."
- Select OK.

- Select Yes to the confirm you would like setup to create a new folder.

- Verify that your folder selections are correct then select Next.

- Select Yes to create a shortcut to Eudora on your desktop.
- Enter a name for the desktop shortcut (e.g., Eudora) then select Next.
- Deselect the "Take me to the Premium Services Directory Page" and "I would like to view the Eudora readme file" boxes then select Finish.
- Open Eudora. If a note appears asking "Would you like it to be the default mail program?" select the "Don't ask me anymore" then Select Yes.
- Select OK to continue with the Sponsored mode of Eudora.
- You have finished installing Eudora. To configure Eudora, go to the Configure Eudora section and use the New Account Wizard to finish setting up your e-mail.

- Open Eudora.
- If a Note window opens asking if you would like to make Eudora your default e-mail program, select Don't ask me anymore then select Yes.
- If you have not already setup an account, opening Eudora will start the New Account Wizard automatically. Select Next. Note: If you already have an account and are switching to IMAP then read switching Eudora from POP to IMAP. If you already have an account, but would like to create an alternate one then select Tools from the menu and pick Personalities. Right click on an e-mail account in the
Personalities box on the left side of the screen, and pick New from the menu. Then, select Next and continue with the following steps.
- Verify "Create a brand new email account" is selected then select Next.
- Enter "Your Name" (e.g., Juana Doe) then select Next.
- Enter your "Email Address" (e.g., jdoe@sfsu.edu) then select Next.
- Leave the "User Name" field with its default value then select Next.
- Enter the name of your mail server in the "Incoming Server" box (e.g., mail01a.sfsu.edu). Refer to the Prerequisites section if you do not know your mail server. Select "IMAP". Verify "IMAP" is selected then select Next.
- Leave the "Location prefix" field blank then select Next.
- Verify the "Outgoing Server" has your mail server (e.g., mail01a.sfsu.edu). Verify the "Allow Authentication" box is selected then select Next.
- Select "Finish" to close the New Account Wizard.
- If you are prompted to enter your password, select Cancel.
- If you are told that Junk mail plugins have been disabled select OK.
- Additional Settings are required to finish setting up your account.
- On the Menu bar, select Tools > Options.
- Select Checking Mail.
- Under the Secure Sockets when Receiving section select "Required, Alternate Port" from the drop-down menu.
- Select Sending Mail.
- Set the Sending Mail options.
- Under the Secure Sockets when Sending section select Required, Alternate Port from the drop-down menu.
- Select Incoming Mail
- Under the For new mail, download section select Full message except attachments over 0 K then select OK.
- Change Eudora from Sponsored to Light mode. Select Payment & Registration from the Help menu.
- Select Light Mode in the Which Eudora is right for you? section.
- A window will appear asking if you really want to switch to Light mode. Select Reduce Features.
- Verify that your e-mail is working by sending a test e-mail to yourself.
- Congratulations! Your e-mail is configured and ready to be used.

Switching Eudora from POP to IMAP
Before you begin, backup your e-mail data. For information, visit the Backups in Microsoft Windows: Protecting Your Computer Data Web page.
If you have other computers set up to access your mail using POP, make certain the POP mail clients are not running. These other mail clients should also be changed to use IMAP instead of POP to access your mail.
To change your Eudora for Windows configuration from POP to IMAP, you should do the following:
Change the Account Options
- Open Eudora.
- On the Menu bar, select Tools > Options.
- Select the Checking Mail icon.
- Under the Secure Sockets when Receiving section select "Required, Alternate Port" from the drop-down menu.
- Select Sending Mail.
- Change the Sending Mail Options.
- Under the Secure Sockets when Receiving section select "Required, Alternate Port" from the drop-down menu.
- Select Incoming Mail.

- Change the Incoming Mail Options.
- Set the Server configuration to "IMAP".
- Under the For new mail, download section select Full message except attachments over 0 K.
- Select OK.

- Verify that your e-mail is working by sending a test e-mail to yourself.
- Congratulations! Your e-mail is configured and ready to be used.

Adjusting to using IMAP
- Critical Information: The mailboxes and folders you see under your new account (e.g., jdoe@sfsu.edu) reside on the mail server, not on your computer. As a result:
- If you delete a message from one of these folders on one computer it will be gone from every computer you check mail from.
- Once a message is deleted from the server it is not easy to have it restored. It is impossible after thirty days.
- If you want specific messages saved locally on a computer, you can make local folders then copy or move the messages from the server into the local folders.
- The time taken to refresh a folder on the server increases with the number of messages in the folder. To keep refresh time down, try to keep the number of messages in any folder below 1000. The inbox on the server is refreshed every time your mail client checks for new messages, so it is especially important to keep the number of messages in the inbox low.
- You do not lose messages you received before switching to IMAP; they will remain in the In mailbox.
- The new Inbox under the < Dominant > folder will contain your new incoming mail (as well as messages that were on still on the server before you switched to IMAP).
- Copies of your messages you send from Eudora will continue to be stored in your Out mailbox.
- Messages you send from other e-mail programs will not be available in your Eudora folders.
- To permanently remove messages marked as deleted, select Message > Purge Messages from the menu.
- Keep your inbox to less than 1000 messages.
