Prerequisites
- Microsoft Office X or higher for Mac
- An SFSU Internet account
- A connection to the Internet.
Obtain Software
Entourage comes
packaged with all editions of Microsoft Office for Mac Software
Versions X, 2004, and 2008. If you have Microsoft Office installed but
do not have Entourage, try reinstalling Microsoft Office. Obtain Account Details
You will need:
- Your account details by logging into SFSU E-mail Account Services. Note the text under Account, Forwarding to..., and Your Mail Server. If you do not already have an account sign up for one.
- If
you are currently forwarding your e-mail and would like to access it
using this e-mail program you should remove e-mail forwarding.
- Your Account (e.g., jdoe@sfsu.edu) will be your IMAP e-mail account address.
- Your Mail Server (e.g., mail01a) will be your incoming and outgoing mail server in the account setup.
- If you do not already know your password, select Change Password. This will be the password you use in your Account setup.

Install Entourage
Entourage is installed with Microsoft Office. See the Prerequisites
section for more information. Navigate to where you have Entourage
installed (e.g., Macintosh HD > Applications > Microsoft Office
> Microsoft Entourage) then select and open Microsoft Entourage.
- The first time Entourage is opened it will ask if you would like to
make Microsoft Entourage your default e-mail program. Select Make Default.
- The Entourage Setup Assistant dialog box will open to ask "What do you want to import?" Select "I want to start using Entourage without importing anything." then select the right arrow in the lower right hand corner.
- The Entourage New Account Wizard will open. Continue to Step 2 of the Configure Entourage section to finish setting up your e-mail.

During the initial setup of Entourage use the following
steps for proper configuration. If you already have an account on Entourage, skip to the Switching Entourage from POP to IMAP section.
- Open Entourage.
- On the Menu bar, select Entourage > Account Settings...
- Select the down arrow next to the "New" button then select "Mail...".
- Click the Setup Assistant button.
- Enter your "E-mail address" (e.g., jdoe@sfsu.edu) then select the right arrow in the lower right hand corner to continue.
- The
Automatic Configuration Failed window will appear. You will need to
manually setup your e-mail account. Select the right arrow in the lower
right hand corner to continue.
- Verify and Complete Settings.
- Enter Your name (e.g., Juana Doe)
- Enter your E-mail address. (e.g., jdoe@sfsu.edu) The E-mail address is your accountname@sfsu.edu. Refer to the Prerequisites section if you do not know your Account Name.
- Enter your Account Name in the Account ID field (e.g., jdoe).
- Enter your Password. The selection of "Save password in Mac OS X Keychain" should be unchecked unless you want Entourage to store your password.
- Enter your Incoming mail server (e.g., mail01a.sfsu.edu). This is your mail server. Refer to the Prerequisites section if you do not know your mail server.
- Select "IMAP" for your Incoming mail server type. Verify "IMAP" is selected.
- Enter your Outgoing mail server (e.g., mail01a.sfsu.edu). This is your mail server. Refer to the Prerequisites section if you do not know your mail server.
- Select the right arrow in the lower right hand corner to continue.

- Select Verify My Settings to ensure your e-mail is configured properly. If your e-mail is configured properly the message "Verification Succeeded" will appear. If your e-mail fails to verify, try starting over with the Configure Entourage Section. Select the right arrow in the lower right hand corner to continue.
- Enter an Account name (e.g., sfsu) to display for your account. Verify that "Add this new e-mail address to your "Me" contact" and "Include this account in my Send & Receive All schedule" are selected. Select Finish then continue to the next step for additional settings required for your account setup.
- Additional setup is required for your account. Select Edit.
- Select Click here for advanced receiving options in the Receiving mail section.
- Select This IMAP service requires a secure connection (SSL) then click the small gray box in the upper left corner to continue.
- Select Click here for advanced sending options in the Sending mail section.
- Set the advanced receiving options.
- Select "SMTP service requires secure connection (SSL)."
- Select "Override default SMTP port" and enter 465.
- Select "SMTP server requires authentication."
- Enter sfsu.edu in the "Domain for unqualified addresses" box.
- Select the small gray box in the upper left corner to continue.
- Select OK. Congratulations! Your e-mail is configured and ready to be used.

Switching Entourage from POP to IMAP
Before you begin, backup your User Data file. See Backing up E-mail on a Macintosh for instructions. For more information, visit the Backups on a Macintosh: Protecting Your Computer Data Web page.
If you have other computers set up to access your mail using POP, make certain the POP mail clients are not running. These other mail clients should also be changed to use IMAP instead of POP to access your mail.
To change your Entourage for Mac configuration from POP to IMAP, you should do the following:
Delete your POP e-mail account:
- On the Menu bar, select Entourage > Account Settings...
- Select your SFSU e-mail account name.
- Select Delete.
- Select Delete to verify that you want to delete the selected e-mail account.
- Select the down arrow next to the "New" button then select "Mail...".
- Enter your Account Settings.
- Enter your Account name (e.g., jdoe).
- Enter your Name (e.g., Juana Doe)
- Enter your E-mail address. (e.g., jdoe@sfsu.edu) The E-mail address is your accountname@sfsu.edu. Refer to the Prerequisites section if you do not know your Account Name.
- Enter your Account Name in the Account ID field (e.g., jdoe).
- Enter your IMAP server (e.g., mail01a.sfsu.edu). This is your mail server. Refer to the Prerequisites section if you do not know your mail server.
- Enter your Password. Remove the default selection of "Save password in Mac OS X Keychain" unless you want Entourage to store your password.
- Enter your SMTP server (e.g., mail01a.sfsu.edu). This is your mail server. Refer to the Prerequisites section if you do not know your mail server.
- Continue with Step 9 of the Configure Entourage Section.

Adjusting to using IMAP
- Critical Information: The mailboxes and folders you see under your new account (e.g., jdoe@sfsu.edu) reside on the mail server, not on your computer. As a result:
- If you delete a message from one of these folders on one computer it will be gone from every computer you check mail from.
- Once a message is deleted from the server it is not easy to have it restored. It is impossible after thirty days.
- If you want specific messages saved locally on a computer, you can make local folders then copy or move the messages from the server into the local folders.
- The time taken to refresh a folder on the server increases with the number of messages in the folder. To keep refresh time down, try to keep the number of messages in any folder below 1000. The inbox on the server is refreshed every time your mail client checks for new messages, so it is especially important to keep the number of messages in the inbox low.
- You do not lose messages you received before switching to IMAP; they will remain in the Inbox under Folders on My Computer.
- After creating your new IMAP account, your account name (e.g., jdoe@sfsu.edu) will appear on the left Folders List Toolbar.
- Your new IMAP account uses the Outbox found under the Folders on My Computer category.
- The Deleted Items folder under your new account (e.g., jdoe@sfsu.edu) will contain any messages deleted from your new inbox.
- The Sent folder under your new account (e.g., jdoe@sfsu.edu) will contain any new messages sent from your account.
- To permanently remove messages marked as deleted, select Edit > Purge Deleted Items.
- Keep your inbox to less than 1000 messages.
