The purpose of this document is to help you prepare for the start of Daylight Saving Time (DST) on Sunday, March 11th. This start date is three weeks ahead of the traditional start of DST in the United States and DST will end one week later than usual on November 4, 2007. All systems and devices that store time and date information are likely to be impacted by this change. This includes your operating system, handheld devices, e-mail clients, and calendars.
Making the SFSU campus compliant with the new DST changes will require two steps. First, the Division of Information Technology will perform updates on the centrally managed campus servers. Second, all Mac, Windows and Unix users will need to make sure that the latest software updates have been installed on their computers to fix any problems with their operating system.
The Division of Information Technology is in the process of updating the centrally managed Domino, Windows and Unix servers. Appropriate patches will also be applied for job schedulers and network equipment.
The DST Update is considered a critical security update for Windows users and has been included in the automatic Windows Updates. If you do not have the automatic updates feature turned on or the feature is turned on but set to not install until the user has selected a time, you may use a guide provided by Microsoft for determining if your Daylight Saving Time Update has been installed.
To install the update, or to confirm that you already have the update, launch Internet Explorer and follow these steps:
1. Go to http://support.microsoft.com/gp/cp_dst
2. Select Home user, then click Next.
3. Select your operating system (follow the instructions on the Web page if you need help.)
4. Click Next, then click Download.
5. On the File Download dialog box, click Run.
6. At this point, if the update is already on the system, you will receive a message indicating that the update has already been installed. Otherwise, click Next to continue.
7. (Optional) Update Microsoft Office Outlook by selecting the version you are using, click Next and then follow the steps provided online.
To determine if you already have the DST update, click on your hard drive icon and select Library > Receipts. If this folder contains a file called DSTUpdate (version information will be appended to this title, i.e., DSTUpdateTi-001.pkg) the update has already been installed.
If you need to manually get the update (or any other updates) follow the steps provided by Apple:
1. For Mac OS X 10.2 or earlier: For Mac OS X 10.3 or later: · From the Apple Menu choose System Preferences . · From the View menu, choose Software Update.
· Click the Check Now or Update Now button.
From the Apple menu select Software Update. 2. In the Software Update window, select the items you want to install, then click Install.
3. Enter an administrator account name and password.
4. After the update is complete, restart the computer if required.
5. Repeat these steps to see if more updates are now available. Because some software updates are prerequisites for others, you may need to repeat these steps several times to complete the software update sequence.
Updating Your Lotus Notes Client
Make sure your operating system updates have been completed prior to updating your Notes client.
The new DST settings will only work on Lotus Notes 7.0.2. Windows users who are running a previous version will need to uninstall the old version and install 7.0.2. If you can't install 7.0.2 because you do not have a compatible version of the Mac OS (you must have 10.4.2 or higher), you need IBM's DST 2007 Hotfix for Lotus Notes Client 6.5.5 on Macintosh which is available at: http://www-1.ibm.com/support/docview.wss?uid=swg24014840
If you use Lotus Notes Calendar, you will likely experience several issues while the DST updates are being accomplished. The changes to DST involve patches or changes to many components of the system which may happen at staggered intervals. Unusual behavior can occur for Lotus Notes meetings that are scheduled from March 11, 2007 to April 2, 2007 and October 28, 2007 to November 4, 2007; the calendar entry may look incorrect until it is opened (times will be off by one hour). When all fixes to the centrally managed servers and your operating system have been applied, these problems, which are expected and temporary, should subside.
Calendar dates will be fixed with a server update that will reschedule meetings with updated entries to the new DST rules. You may or may not receive reschedule notices from meeting chairs. Corrections are being made to all Lotus calendar entries affected by DST so you do not need to manually reschedule meetings.
To minimize the impact and possible errors resulting from these changes, note the following suggestions when using Lotus Notes Calendar:
1. When you look up free time for meeting invitees, the information may not be up-to-date. Manual confirmation of the meeting time is suggested. As an optional quick check, including the intended meeting time in the subject of the e-mail may reduce any chance of errors.
2. Meetings that schedule resources (rooms and reservations) will be shifted. However, you MAY receive an automatic decline from your room if the reschedule conflicts with an existing reservation. If this happens, try to reschedule the meeting and select an available resource at that time.
After the changes have been made to your operating system software it may be necessary to reset the time zone setting within your Calendar Preferences. If you are experiencing errors and/or you want to check your settings follow these steps:
1. Open your Lotus Notes Calendar.
2. Select Tools > Preferences.
3. Select the Calendar & To Do Tab > Scheduling Tab > Your Availability Tab.
4. If the Time Zone field is set to Local Time it does not need to be reset. Otherwise, select the correct time zone from the drop-down menu.
5. Quit and re-launch Lotus Notes.
How can I tell if Lotus Notes has been updated with the new DST rules?
The easiest way to tell with Notes installed is to create a new calendar entry and save it. Then view the properties for the document (File > Document Properties), check the fields tab (second from left with a small triangle) and find the StartTimeZone or EndTimeZone field in the list. If the entry includes DL=3 2 1 11 1 1, then you have the 2007 rules configured in the operating system.How can I tell if other Lotus Notes users that I want to invite to a meeting have the new DST rules?
You have no way of knowing if another user has the correct 2007 rules unless you have a recent invite from that user. In that case, you can use the same method described above with the recent calendar entry selected.Why does my Lotus calendar look wrong until I open a meeting?
The script to correct calendar entries has not yet been run on your server. If you open the document, you can see the correct time of the meeting.How can I confirm that external contacts and people outside of SFSU have updated their calendars?
There is no technical way to confirm that external calendars have been corrected. Notes will send reschedule notices to external users so meetings you initiate with them can be updated. Entries on your calendar will also be corrected to make you see the correct time. However, the only sure way to know that the other calendar is up-to-date is to contact the external party.What should I do if I have a meeting on my calendar that seems wrong? How can I confirm that meetings in my calendar are up-to-date?
Check the rules associated with the new and old documents as described above. If they do not reflect the new settings (DL=3 2 1 11 1 1) for new entries, you will need the Windows or Mac OS DST update.It is after April 2, 2007 and I am still seeing problems with my calendar. What do I do?
If you continue to see schedule errors confirm that the location setting is set to use the operating system's time zone settings by selecting File > Preferences > Location Preferences. Select the Advanced tab and then the Basics sub tab. Make sure the Use operating system's time zone settings option is set to Yes.
