Labor Expense Data Pay End Date for 2006, 2007, 2008 & 2009

The Budget Administration and Operations office is available for questions and/or adjustments to the labor expense data in ADM 355, x81463. To request an adjustment, please complete the Labor Cost Distribution Change Request Form at www.sfsu.edu/~cms/forms.htm#HRMS_Forms

"Forgot your password" feature now available in HRMS

The “Forgot My Password” feature for HRMS (E-TRAC, Time & Labor, Labor Cost Distribution, Recruiting and Query) account access is now available.

The feature allows users who forget their HRMS account password to reset their own password and have a new password sent to their SFSU E-mail address.

In order to use the “Forgot your Password” feature, a secret question must be selected and answered in order to validate user identity. Instructions to perform the initial set up required to use this feature are available on the following webpage:

Please note the limitations with the “Forgot your Password” feature:

1) The “Forgot your Password” feature only works if you have forgotten your password, and does not work for accounts that have been locked out due to 3 or more failed login attempts. Accordingly, we recommend you use this feature upon the first failed logon attempt due to a forgotten password. For locked out accounts, you must call five-help (5-4357) in order to have your account unlocked and password reset.

2) If your password has expired and you don’t remember your old password you must call five-help (5-4357) in order to have your password reset.

HRMS Unavailable during Maintainence: March 28, 5 PM through April 1, 8 AM

San Francisco State University's Human Resource Management System (HRMS), which includes E-TRAC, Time & Labor, Leave Accrual Web Views, HRMS/LCD - related reports and queries will be unavailable Friday, March 28, 2008 from 5:00 PM to Tuesday, April 1, 2008 8:00 AM for scheduled maintenance.

Note:
The HRMS downtime does not apply to the PeopleSoft Finance System.

Announcement to all Labor Cost Distribution Users

Effective with the August payroll, you may see new salary Account codes and expenditures in LCD reports and as part of your financial statements. These new Accounts were established due to special reporting requirements, and are as follows:

601190     Academic Salaries – Lump Sum Vacation
601290     MPP Salaries – Lump Sum Vacation
601385     Lump Sum Overtime (holiday leave)
601395     Staff Salaries – Lump Sum Vacation

Expenditures in these accounts are considered salary payments, and should be covered from your budget as are all other salaries.

If you have any questions, please contact Miriam Perlson-Cohn in the Budget Administration & Operations Office at x81463. For questions regarding grants and contracts accounts, please contact your Grants Administrator in the Office of Research & Sponsored Programs.

HRMS Unavailable during Maintainence: October 26, 5 PM through October 29, 8 AM

The HRMS production environment, which includes E-TRAC, Time & Labor, LCD and Leave Accounting Web View will be unavailable Friday, October 26, 2007 from 5:00 PM to Monday, October 29, 2007 8:00 AM for scheduled maintenance. The system will be available on Monday, October 29, 2007 at 8:00 AM.

Student E-TRAC Processing Guidelines For Fall 2006 and Spring 2007

The Payroll division completed the Auto-Termination process for student employees in class/job codes 1870, 1871, 1872, 1874, 1875 with appointment end dates of May 30, 2007 or earlier. These terminations reflect all Student Employees who were not reappointed in these positions as of May 31, 2007.

The following Labor Cost Distribution queries have been updated in HRMS. These queries work with existing Labor Cost Distribution Macro for PC Users.

Summer 2007 State-Supported Faculty Processing

State-Supported Summer faculty appointment processing for 2007 may now begin using E-TRAC. Please refer to the attached supplemental E-TRAC instructions. Human Resources will forward payroll source documents for processing and send/email appointment notification letters to faculty once this office receives the completed and approved E-TRAC transactions and necessary payroll forms.

The upgraded Labor Cost Distribution Macro for PC Users is available. This version works with Microsoft Excel spreadsheets generated by SFO_LCD_DEPT Queries in HRMS.

The upgrade to the E-TRAC and HRMS systems to PeopleSoft Human Capital Management (version 8.9) is complete. You may access the system beginning Tuesday, March 27, 2007, 8 a.m.

In an effort to improve services for users, an upgrade to the E-TRAC and HRMS systems to PeopleSoft Human Capital Management (version 8.9) will be performed starting Thursday, March 22, 2007 at 5pm until Tuesday, March 27, 2007 at 8am. Student E-TRAC Processing Guidelines For Fall 2006 and Spring 2007

Faculty E-TRAC Open Labs for Summer 2006

To assist with Summer 2006 Faculty E-TRAC processing, we have arranged two open labs on the following dates that will be held in Conference Room 201.

Thursday, June 29, 2006, 10AM - 12PM
Wednesday, July 12, 2006, 2PM - 4PM

Please note that these sessions are not formal training sessions, but are designed to provide an environment for E-TRAC users to process and create actual E-TRAC summer faculty appointment transactions, with staff from Faculty Personnel/HRIS who are available to assist in users with E-TRAC and to answer questions regarding faculty summer employment. Accordingly, please be prepared when you attend the open lab session and:
  • Have a functional USER ID and password for E-TRAC.
  • Have SSN's and other hiring documents for summer faculty appointments.
  • Know which department(s), faculty name, AY salary base, number of units and summer session (R1, R2 or R3) to use for each appointment transaction.
  • Bring all SUMMER 2006 FACULTY APPOINTMENT PROCESSING instructions and documentation.

New E-TRAC Home Functionality

We have updated new E-TRAC home functionality on E-TRAC Documentation for Approver, Faculty, Staff and Student.

The New functionality has been added to the E-TRAC home page to provide more options in viewing, sorting, opening and managing transactions and to make the home page operate more efficiently. All changes were applied to the Sort/Filter My E-TRAC Transactions section which affects both the view in E-TRAC Types and in My E-TRAC Transactions.

E-TRAC Bulletin

The Human Resources Management System (HRMS) has updated the Salary Minimum and Maximum for all Job Codes which reflect the salary changes for all Collective Bargaining classifications. You may view/print the Salary Schedule from the Human Resources, Safety & Risk Management website at www.calstate.edu/HRAdm/SalarySchedule/Salary.aspx.

In addition, effective February 8, 2006, an Effective Date field under "My E-TRAC Transactions" has been added to assist users in processing the E-TRAC transactions with respect to payroll deadlines and other time-sensitive employment transactions.
