AV Tips for Faculty Signing Out Equipment for Student Presentations:

This can be a complicated process. We will try to simplify it as much as possible. Most of the problems can be solved in advance.

It very important that the students be very specific about what kind of equipment they need and how they will use it. It's best for the group to designate one person to deal with the AV needs.

If you are unsure what they need, BRING THEM TO AV WITH YOU AND WE WILL TRY AND SORT IT OUT.

You must sign out all AV equipment for student presentations in person at our office in the Library Basement (Click here for location). You can do it all at one time. Here's how it works:

You will sign an over-the-counter card for each group or individual for a specific date and time. You will designate up to two students PER GROUP to pick up the equipment. They MUST have their SFSU Student ID Card with them.

1. Print out the AV Equipment Sign-up Sheet and Checklist here (This will open in a new window, just click "Print") for each class.

2. Type of equipment and accessories is very important. (Do they need an ethernet cable for internet access? Using audio?)

If students will be working in a group, designate no more than two names to pick up the equipment.

3. Take the completed checklist to the AV Service Desk and tell the staff member that you would like to "presign over-the-counter cards for student presentations" and show them your list.

4. The staff member will reserve the equipment and fill out the cards and have you sign them. Check them off in the "Card Signed" box on the Checklist.

5. They will be filed at our office under your last name.

WHEN YOUR STUDENTS GO TO AV TO PICK UP THEIR EQUIPMENT, MAKE SURE THEY TELL THE STAFF MEMBER AT THE COUNTER THE FOLLOWING:

"I AM PICKING UP EQUIPMENT FOR PROFESSOR _________ AND THERE IS A PRESIGNED CARD." THIS WILL ALLOW US TO PROCESS THE REQUEST MUCH FASTER.

• KEEP YOUR IMAGES SMALL.
• AV'S COMPUTERS ARE NOT NECESSARILY AS FAST AS YOUR HOME COMPUTER.
• YOUR STUDENTS ARE RESPONSIBLE FOR PICKING UP THE EQUIPMENT ON TIME.
• REMIND THEM TO TEST THEIR PRESENTATION AT AV A MINIMUM OF THREE WORKING DAYS IN ADVANCE.
  • THIS WILL ALLOW TIME FOR CHANGES IF NECESSARY.
  • ASSUME EVERYTHING WILL GO WRONG. THEN WHEN IT ALL WORKS, THEY'LL BE EVEN HAPPIER.

• You have three students who want to do Powerpoint presentations for your Thursday 12/9 class from 9:00am-11:30am. They all use a PC. We will reserve one PC cart for all of them. Have them pick two students to pick-up the equipment.
• You have three groups doing Powerpoint presentations on Tuesday, 12/14 from 9:00am to 12:00pm. Two are using a Mac, one a PC. Powerpoint presentations are cross-platform (they can run a Mac or a PC) so we will reserve one laptop for all three presentations.
• There are two students who wish to use Powerpoint on a PC and one who needs an overhead projector for transparencies. Designate two students to pick it all up at once.
• You have a student who wishes to do a Powerpoint and Web demonstration that requires that they be able to flip between the two programs. Bring that student with you when you come to AV. We will need to discuss options with them (Browser version, audio needs, for example).
• You have a student who wants to cablecast one of our videos during their presentation. You will have to schedule it for them. You'll need the media's AV number, date and time of the cablecast (there's room at the bottom of the Checklist for this info) and you can set it up when you come to AV.
• You have a student who needs to show their own video and a Powerpoint presentation with it (it just keeps getting more complicated, doesn't it?) We'll check out a laptop and a multimedia cart which will allow them to switch between the VCR and the laptop.

General rule of thumb: If it sounds complicated, then BRING THEM TO AV WITH YOU.
