Lotus Notes 7.0.3 Installation Guide for Windows

Hardware and Operating System Recommendations

Lotus Notes 7 can be installed and used without meeting these recommendations, but may be unacceptably slow or unreliable.


Install (or upgrade) Lotus Notes 7.0.3

Read the installation instructions completely before starting the installation.  If your computer is on-campus you may need assistance from your local IT staff during the installation.  If this is not your first Notes installation you will need a backup copy of your Notes ID file from a working Notes installation. The Lotus Notes Password Management Guide includes instructions on how to back up your Notes ID file from a working Notes installation.

Do not attempt to download the Notes Installer through a dial-up modem connection. Bring a blank CD-R disk or USB flash drive to ADM 110 and we will give you a copy of the installer.

Upgrades from previous Notes 7 versions. If you have Notes 7.0.0 or 7.0.2 installed in multi-user mode you can install Notes 7.0.3 without uninstalling the previous version. Use the Lotus Notes Supplemental Tools to check whether your installation is multi-user or single-User. If your existing installation is in single-user mode we recommend that you uninstall Notes then install Notes 7.0.3 in multi-user mode. If you plan to upgrade to Windows Vista, your Notes installation MUST be a multi-user installation before installing Vista. See Uninstall Lotus Notes 7 for instructions on how to remove single-user installations. All differences between a new installation and an upgrade will be explained in the few instructions that are affected.

Give yourself enough time. Allow at least 30 minutes to complete the installation to an on-campus computer.  Off-campus installations using a fast Internet connection (i.e., DSL or Cable) require an extra 15 to 20 minutes.

  1. Log into a Windows account with administrative rights. This does not need to be the Windows account you will be in while using Notes.  If Windows starts without prompting you to log in then you are almost certain to be in an administrative account.  If you are using a university-owned computer and do not have an administrative account, you will need assistance from your local technical support group.
  2. Close all applications other than the web browser used to view this document.
  3. If this is a new installation and you do not know your e-mail server name, follow the steps below:
    1. Go to http://www.sfsu.edu/email
    2. Log in using your SFSU ID and PAC number.
    3. Find your account name then look at the Mail Server column to find your e-mail server name.  For example, mail05a (that's a zero in front of the 5).

    4. Close the SFSU Email Services page.
  4. Click on the Download Lotus Notes 7.0.3 button to download the Lotus Notes 7 installer to your desktop:
    If your computer does not have a fast connection to the Internet, bring a blank CD-R disk or USB flash drive to the Helpdesk office in ADM 110 and we will give you a copy of the installer.
  5. You must have your Notes ID file available the first time you run Notes after a new installation. You must also know your Notes password which may not be the same as your e-mail password.  If you have previously installed Notes and have a current backup of your Notes ID file, make a copy of it to the computer you are installing Notes onto. If you do not have a backup copy of your Notes ID file and cannot make one, follow the procedure below that best describes your Notes installation and usage history.

    Procedure 1:  Use this procedure if this is your first Notes installation OR you do not have a backup of your Notes ID file and have no other working Notes installation to make a backup from. This procedure will not work if you have changed your Notes password in another Notes installation. If you have another Notes installation but no backup of your ID file, see the Lotus Notes Password Management Guide for instructions on making a backup.

    Follow the steps below to download your Notes ID file and verify your Notes password. Your Notes password will be displayed on-screen, so take precautions to keep it from being seen by other people.

    1. Go to https://inside.sfsu.edu/adt/admin/adt.nsf/starthere.
    2. Enter your SFSU ID and your SFSU E-mail Password, then click Log In to take you to the Lotus Notes Upgrade Web page.
    3. Click on Click Here to Pick Up a Copy of Your ID File to open the User ID Archive page.

    4. Your Notes password is displayed in the ID Password field.  Your Notes password and e-mail password start out the same, but are independent of each other.  If you've changed one without changing the other to match they will be different.
    5. Your Notes ID file is displayed at the bottom of the page in the form account.id, where account is replaced by your SFSU e-mail account name.  For example, if your SFSU e-mail account name is janedoe, then your Notes ID file would be named janedoe.id.  Click on the link to your Notes ID file and save it to your desktop.
    6. Close the web browser you used to access the User ID Archive page.

    Procedure 2:  Your e-mail account's Notes password is NOT the same as its original setting.  This will only be true if you have changed it from within Notes. Changing your e-mail password on the web does NOT change your Notes password:

    1. Log in as you usually do to a computer where you have used Notes at least once since you last changed your Notes password.
    2. Use the Lotus Notes Supplemental Tools to back up your ID file.
    3. Make a copy of your backup Notes ID file to the computer Notes will be installed onto.  This can be done using a USB flash drive, a floppy disk, a CD, or e-mailing it to yourself as an attachment.  Whatever method you use to copy it, your Notes ID file must be available during the new Notes installation.
    4. Use your current Notes password while configuring your new Notes installation.

    To copy your Notes ID file from Mac OS X:

    1. Click on the Finder icon in your dock.  Choose Go from the top menu bar then click on Go to Folder.... Enter

       ~/Documents/Lotus Notes Data/
       
    2. In the Lotus Notes Data folder you will find your Notes ID file. It's name will be in the form account.id, where account is replaced by your SFSU e-mail account name. For example, if your SFSU e-mail account name is janedoe, then your Notes ID file would be named janedoe.id.
    3. Make a copy of your Notes ID to the computer Notes will be installed onto. This can be done using a USB flash drive, a CD, or e-mailing it to yourself as an attachment.  Whatever method you use to copy it, your Notes ID file must be available during the new Notes installation.
    4. Use your current Notes Password while configuring your new Notes installation.

  6. Double-click on sfsuNotes7.exe from your download location or the media (CD-R disk or USB flash drive) you brought to ADM 110 to get the installer.  Wait for the Welcome to the Installation Wizard for Lotus Notes 7.0.3 window to open.  A large number of files need to be created, so be patient.
  7. Click Next when the Welcome to the Installation Wizard for Lotus Notes 7.0.3 window opens.
  8. Read the License Agreement, click on I accept the terms in the license agreement, then click Next.

  9. Enter your name into the User Name field and SFSU into the Organization field.  Make certain that Anyone who uses this computer (Multi-User Install) is selected. Click Next.

    Upgrade Note: The User Name and Organization entered in the previous installation will usually be pre-entered in the upgrade screen, and the radio buttons for a Single User Install vs. Multi-User Install will be grayed out. If your existing installation is single-user then the upgraded installation will be single-user.
  10. Leave Installation Path Selection: at its default setting.  Click Next.
  11. Leave Custom Setup at its default setting.  Click Next.

  12. Leave Ready to Install the Program at its default setting. This will make Notes your default e-mail program.  Click Install.  The installation's progress will be displayed and does not require user input.
  13. When you see The Install Wizard Completed, click Finish to close the installer.
  14. Lotus Notes has been successfully installed. A Lotus Notes 7 icon "" has been placed on your desktop.

Configure Notes for Your Account

Upgrade Note: The first time you run Notes after an upgrade you will see a message that the installation completed. You will still have your previous configuration and do not need to perform a new configuration.

  1. You must be logged into the Windows account you will use Lotus Notes in. This does not need to be an administrative account.
  2. Launch Notes using the icon on your desktop "" or through the Start menu.   This opens your Lotus Notes Client Configuration window.
  3. Click Next in the Welcome screen.
  4. Enter your full SFSU e-mail address (e.g., janedoe@sfsu.edu) in the Your name field.  Enter your e-mail server name followed by .sfsu.edu in the Domino server field.  For example, if your e-mail server name is mail05a then you would enter mail05a.sfsu.edu in the Domino server field.  Remember that "mail" is followed by a zero, not the letter 'o'.  I want to connect to a Domino server must be checked.  Click Next to open the Notes ID File screen.

    If you don't know your server name, review step 3 in the installation instructions.

  5. Click Browse in the Notes ID File window to import your Notes ID file.

  6. Navigate to the Desktop (or other location you have saved your Notes ID File to) in the Enter New User ID File Name window.  Select your Notes ID File then click Open.

  7. You will be back at the Notes ID File window.  Click Next.

  8. Click Yes when asked if you want your ID file copied to your data directory.

  9. Enter your Notes password when prompted, then click OK.

    If you see a pop-up window stating that "You have a different password on another copy of your ID file and you must change the password on this copy to match", you will not be able to complete the installation with the ID file you selected. This should only happen if you previously changed your Notes password and do not have access to a Notes ID file that contains your current password. In this case, follow the instructions for resetting your Notes password in the Lotus Notes Password Management Guide.

  10. Uncheck Setup instant messaging then click Next.
    ""
  11. Leave all Additional Services check boxes unchecked.  Click Next.
    ""
  12. An IBM Lotus Notes window will open telling you that Notes setup is complete.  Click OK.
  13. You will be asked to create a Welcome Page.  Unless you are an experienced Notes user, click on the checkmark icon to the left of No thanks, just give me the defaults.

  14. Notes will open at the Welcome Page.  As you become familiar with Notes you may want to choose a more complex Welcome Page by clicking Click here for Welcome Page options in the Welcome Page.
  15. Click on the Mail icon in the Welcome Page.
  16. If this is not your first Notes installation:
    1. Select Syncronize Address Book from the Actions menu. Wait for the syncronization to complete. This copies your address book on your mail server to your Notes installation.
    2. If you have created a journal, select Syncronize Journal from the Actions menu. Wait for the syncronization to complete. This copies your journal from your mail server to your Notes installation.
  17. If this is your first Notes installation, make a backup of your downloaded Notes ID file to a removable media or to a secure location on a different computer, delete your Notes ID file from your Desktop (or other location you saved it to), then empty your trash. Whenever you change your Notes password, use the Lotus Notes Supplemental Tools to replace your backup Notes ID file with a new copy that contains your new password. Read the Lotus Notes Password Management Guide for more information about passwords in Notes and why you need to make a new backup of your ID file when you change your Notes password.

Uninstall Lotus Notes 7

You will need to uninstall Notes if you are changing from a Single-User installation to a Multi-User installation or if you want to remove Notes from a specific computer. Simply running the uninstaller is not enough, complete all of the following instructions.

  1. The following instructions should be followed for each Windows login where Notes is used. In most cases this will only be for one login.
    1. Log in to Notes.
    2. Open your Inbox
    3. Select Syncronize Address Book from the Actions menu. Wait for the syncronization to complete. This copies your address book to your mail server.
    4. If you have created a journal, select Syncronize Journal from the Actions menu. Wait for the syncronization to complete. This copies your journal to your mail server.
    5. Close Notes.
    6. Use the Lotus Notes Supplemental Tools to back up your Notes ID file then to delete your data folder. If you need your ID file to install Notes on another computer then back it up to removeable media such as a flash drive.
  2. If your current Windows login does not have adminstrative rights, log out then log in to an administrative Windows account.
  3. Open Add/Remove Programs from the Control Panel (Vista: Programs:Uninstall a program or, in Classic View, Programs and Features).
  4. Select Lotus Notes 7.0.x (where 'x' is a 0, 2, or 3)
  5. Click on Remove (Vista: click on Uninstall). Wait for the Uninstall to complete.
