Using inside SF State e-mail
- What is inside SF State e-mail? How does it function in relation to Lotus Notes?
inside SF State e-mail is a full-featured web client that interfaces with SF State's e-mail and calendaring servers. inside SF State e-mail offers many new services unavailable in SF State's Webmail client. Using inside SF State e-mail, you can use many of the features provided by Lotus Notes including e-mail, calendaring, address book, to-do lists, out-of-office notification, and much more.- How do I access inside SF State e-mail?
To access inside SF State e-mail, use any of the supported Web browsers and go to, http://inside.sfsu.edu to log in.
- I am using inside SF State e-mail, but it is not performing tasks well. Why is this occurring?
inside SF State e-mail requires a supported Web browser. Download and install one of the following browsers.
Windows PC - Firefox 2, or Internet Explorer 6.0.x.
Macintosh - Firefox 2 (Apple's Safari Web browser and Internet Explorer will not work).
inside SF State e-mail
- How long will deleted messages remain in the trash prior to permanent deletion?
Messages will remain in your trash folder for 48 hours by default. After 48 hours the messages will be automatically purged. To change the default, click the Tools button
and select Preferences from the menu. In the Mail tab, change the hour value next to Soft Delete to the hour value you prefer.
- How do I display e-mail in a threaded view?
To display e-mail threads sequentially, select the Mail tab
, expand the Views option
in the right hand browser pane and select Mail Threads. This will group all mail threads together in sequence enabling you to access a topic quickly.
- How do I spell check a memo in inside SF State e-mail?
To spell check your memo, click the spell check icon
in the toolbar.
- How do I set up an Out-of-Office notification?
To set an Out of Office notification for your incoming mail click Tools
and select Out of Office. Specify the duration of your absence in the Dates tab, and a memo you would like others to receive, in the Out of Office message tab.
In the Exceptions tab, DoIT stongly recommends that you check the box marked "Do not automatically respond to mail from Internet addresses". When this box is checked, your Out of Office response will only be sent to SFSU e-mail accounts. This highly decreases the likelyhood of an Out of Office response being sent to a questionable destination (e.g., spammer).
When you are done configuring your memo, click Save & Close
to activate the notification. When you return to the office, be sure to disable your Out of Office notification.
- How do I add a signature to my e-mail memos?
To add a signature to your outgoing mail click Tools
and then Preferences. Expand the Mail options, click on Signature. In the Signature box provided, type your text signature. For your signature to be automatically added to outgoing memos, put a check in the box next to 'Append a signature to the bottom of your outgoing messages.'
- How do I filter my mail to specific mailboxes or to the trash?
inside SF State e-mail uses Rules to filter and sort your mail to mailboxes, folders, and the trash. To create a Rule, click on the Mail tab
and from the folder browser, expand Tools and click Mail Rules
. With the Mail Rules Window option open, click New
and specify the conditions and actions your filter will follow.
inside SF State Calendar
- How do I grant access to my Calendar?
To delegate access to your calendar go to the Calendar tab, click Tools
and select Preferences from the menu. In the Preferences window expand the Delegation option, then Mail, Calendar tab. To give access to an individual, select 'Add Person or Group'. In the Add People/Groups window, specify who will have access to your calendar and how much access you will grant them. It is not recommended to delegate access to 'All Mail, Calendar, and To Do.
inside SF State Address Book
- How do I move contacts from my previous e-mail application into the inside SF State e-mail system?
Importing a group of contacts into inside SF State e-mail requires the Lotus Notes application and its ability to read the vCard contact standard. You can install the Lotus Notes application by following the appropriate installation guide. Once Notes is installed, reference the instructions for importing vCard contacts available in the Notes FAQ. If your former e-mail client cannot export vCards, please contact the Help Desk for assistance.
Using Lotus Notes or inside SF State e-mail with a PDA
- I have a Palm OS, Symbian OS, Windows Mobile, or Blackberry handheld device and would like to sync my e-mail, calendar, address book, and contacts with inside SF State e-mail servers. What are my options?

- I have a RIM Blackberry device and would like to sync with inside SF State e-mail. What are my options?
At present, there are no options available on the SFSU campus to sync Blackberry devices with inside SF State e-mail. We are researching a third-party solution for Wi-Fi and Wireless access. Please check back to this FAQ for further information.
Issues with Password management
- I recently changed my password via the E-mail Account Services page. Will my new password work with inside SF State e-mail?
Yes, your password change will work with inside SF State e-mail. However, it will not work with Lotus Notes. For further information on password issues, read Lotus Notes FAQ on Issues with Security Management.
Possible issues with inside SF State email
- While checking mail at inside SF State messages are disappearing or no longer available. What is happening?
If you have another computer or handheld e-mail device and are seeing messages disappear from your Inbox, it is likely that your e-mail program is set to automatically download and delete messages using the POP protocol. DoIT strongly recommends that you modify any e-mail programs to use the IMAP protocol for checking mail. When IMAP is in use, messages are left on the SFSU servers so they are visible from any computer which attempts to access them.
