Microsoft Campus, Select and Student Select Software Agreements


The California State University has entered into three agreements with Microsoft that will provide software for CSU students, faculty, staff and auxiliary units. The three agreements are the Microsoft Campus Agreement Program, Microsoft Select Agreement and the Microsoft Student Select Program. The agreements will be in effect from now until December 31, 2008. The full text of the CSU Microsoft Agreements can be viewed at http://msadmin.calstate.edu

Microsoft Campus Agreement Program

The Microsoft Campus Agreement provides faculty, staff and auxiliary units with the use of certain Microsoft desktop products, server licenses and Server Client Access Licenses (CAL's) including MS Software Assurance for a three-year period beginning Jan 1, 2006. MS Software Assurance covers the products for any new releases during the 3-year term of the contract.

Students are not licensed under this agreement. Microsoft software licensed for use under this agreement are:

  • Office Professional (both Macintosh and Windows versions)
  • Frontpage 2003
  • MS Office Sharepoint Designer 2007 (replaces Frontpage 2003)
  • Publisher (Not available as a stand-alone product, now included in Office Professional)
  • Visual Studio.NET Professional
  • Windows Upgrades

Work at Home Rights under the Microsoft Campus Agreement Program

The Campus Agreement contains Work at Home Rights (WAH). The WAH program allows faculty, staff and auxiliary units to install one copy of the covered software on their home computers on which the faculty or staff member is the primary user. CD's for WAH installations are special CD's and not the same CD's used to install on CSU owned computers. These CD's may not be duplicated and they come with their own installation key code. Faculty, staff and auxiliary units should contact the SFSU Bookstore to purchase WAH CD's and for updated pricing.

The WAH program does not allow you to install from a Microsoft software media obtained through the Microsoft Select Program.

Microsoft Select Agreement

Licenses for other Microsoft software not listed as part of the CSU-Microsoft Campus Agreement program may be purchased through the Microsoft Select Agreement at significantly discounted prices. Microsoft Select software licenses must be ordered from:

Microsoft Select software products are not for home use and are not part of the WAH program.

The copy of the approved purchase order that is returned to you from the university-purchasing agent is your license.

Documentation and media may be obtained separately through the Microsoft Select program.

To look up prices for just licenses of MS products not included in the Campus Agreement, do the following:

  1. Use your web browser and go to http://www.asap.com/
  2. Click on Volume Licensing Made Simple.
  3. Click on Shop Software.
  4. Log in with the following information:
    • Email Address: csusanfrancisco@asap.com
      Password: account [Enter]
  5. Click on Licensing Price Lists from the Account Management section
  6. Click on Run a Price List > Create New Price List > Next.
  7. Click on Microsoft Select 6.0 then click Next.
  8. Save as a Personal Template after providing a name for your Price List..
  9. Click Next.
  10. Choose to either Download or View the Price List online.

We highly recommend the purchase of licenses with SOFTWARE ASSURANCE. Software assurance allows you to upgrade the product to the newest version until the Select agreement expires on 1/1/09.

Student Select Program

The Microsoft Student Select Agreement allows students to purchase Microsoft products (licenses and CD's) at significantly reduced prices. The products available under this agreement are:

  • Office 2007 (Windows version).
  • Office 2003 Pro
  • Windows Vista Business Edition
  • Windows XP Professional Operating System
  • Office 2004 (Macintosh OS X only)

Students may purchase software under the Student Select Program at the SFSU Bookstore.

The Windows Operating System will install on one computer an unlimited amount of times (if the PC were to crash, you can reinstall the software). Office can be installed on two computers - a desktop and a portable device.

When the software is installed, you will be required to register the product with Microsoft or the product will not install. The registration will take the Key Code of the CD-Rom and a Serial number from the computer(s) and store them in a Microsoft Database, as long as these two numbers match, the CD-Rom will keep installing on that computer(s).

Getting the software!

Students
  1. Go to the SFSU Bookstore Customer Service counter (next to the elevator) to purchase pre-copied Microsoft CDs at a reduced rate. Ask for the CSU Microsoft Student Select program.

  2. Each student must provide the following as proof of eligibility:

    • A current student ID card
    • A picture ID (e.g., driver's license)

    Students are not allowed to trade or sell the CDs. Students must register the software with Microsoft upon installation or it will not function.

Faculty/Staff

For On-campus Use

  • To request media for any software covered by the MS Campus Agreement and for installation assistance, contact your department/college support person.

    If your department/college does not have a support person, submit a service request to request the installation CDs. For installation assistance contact the Division of Information Technology helpdesk@sfsu.edu or at (415) 338-1211.

  • For software not included in the Microsoft Campus Agreement, you may purchase licenses through the Microsoft Select Program. Software purchased under the Select program are not for eligible for the Work at Home program.

For Work at Home Use:

  • To get a copy of any software covered by the MS Campus agreements for home use, you will need to purchase the media from the SFSU Bookstore. These CD's are not the same CD's that are used to install on a campus computer. WAH CD's have a special installation code and require that you register with Microsoft during the installation.

Who is Eligible?

Students
Students who want licenses and software under the Microsoft Student Select agreement must currently be enrolled full-time or part-time in a degree granting program at San Francisco State University (i.e., matriculating students).

Faculty, Staff & Auxiliary units

SFSU faculty, staff and auxiliary units (full-time and part-time) who use computers at work can install licensed Microsoft software listed under the Campus Agreement program on their university-owned computers.

SFSU faculty, staff and auxiliary units can also purchase special media to install software specified in the Campus Agreement Program on their computer at home. View the details of the Work at Home Program for a list of eligible software and restrictions on use.

Who is Not Eligible?


  • Anyone enrolled exclusively in non-credit courses.
  • Conference attendees
  • Alumni
  • Visitors
  • Staff who do not use a computer at work.
  • Fully retired CSU Faculty and Staff are not eligible. Microsoft requires that those who do not use a computer at work may not take the software home.
  • SFSU Student Assistants, Graduate Assistants, and Teaching Associates are not eligible for staff or faculty benefits under the CEA. However, they are eligible for student benefits.
  • Companies, and their employees, who have been hired on a contractual basis for services on or off campus. (i.e., individuals not directly employed by SFSU).
